The rules worth knowing before you plan
WhatsApp distinguishes between replying inside a customer-initiated window and messaging outside it, which requires pre-approved templates. Templates are reviewed, categorised, and priced differently by category, and marketing templates are treated more strictly than utility ones.
This matters at design time, not afterwards. A notification flow built without regard to template categories can become expensive or get restricted, and rebuilding it later is the awkward kind of rework. Opt-in also has to be genuine and recorded — both because the platform enforces it and because the DPDP Act expects it.
The Business API is not the win. Connecting it to the systems holding your answers is — otherwise you have replaced one inbox with a better-organised one.
We would rather tell you now than three weeks into a project. This work is usually the wrong call if any of the following describes you.
- Very low message volumes where the free Business app genuinely suffices.
- Businesses wanting bulk promotional messaging. That is where accounts get restricted, and we will not build it.
- Anyone without systems worth connecting to — solve that first, or the integration has nothing to say.

Do we need a BSP?
In practice yes, for onboarding, number provisioning, and template management. We are not tied to one and will work with whoever you choose or help you compare.
Can we message customers whenever we want?
No. Outside the customer-initiated window you need approved templates, and categories are priced and policed differently. Designing around that from the start avoids expensive rework.
Can we keep our existing number?
Usually, though a number already registered on the consumer app has to be migrated and cannot be used in both places. Plan the switch rather than discovering it on the day.
