Trading & Distribution

Orders, stock, and margin in one place — instead of three systems and a WhatsApp group.

Trading businesses run on speed and margin, but the information needed to price and commit is scattered across Tally, spreadsheets, and someone's memory. We bring it together so quotes go out fast and margin is known before you commit.

How this business runs today
  • Enquiries arrive by phone, WhatsApp, and email, and are answered from memory.
  • Stock levels are known approximately, and confirmed by walking to the godown.
  • Quotations are built in Excel and pricing depends on who prepares them.
  • Credit limits are enforced by whoever remembers the customer's history.
  • Salespeople in the field cannot see stock, price, or outstanding dues.
  • Landed cost is calculated after the fact, so real margin is a surprise.

If that reads like your business, none of it is unusual — and none of it has to stay that way.

What it costs you

The frustrations we hear most in this sector

Every one of these is a symptom of information being captured more than once, or not captured at all.

Quotes take hours because stock and pricing have to be checked manually
Overselling stock that was already committed to another customer
Inconsistent discounting that quietly erodes margin
Receivables chased late because nobody has a live ageing view
Field sales operating blind on stock and outstanding balances
No reliable view of which products and customers actually make money
Task by task

How we transform trading & distribution operations

No abstractions. For each task your team does today, here is what changes, and exactly which capability does the work.

01

Enquiry capture

Today

Enquiries arrive across phone, WhatsApp, and email. Some are noted, some are remembered, and some are lost entirely.

With Udyat

Every enquiry lands in one pipeline regardless of channel, with source, requirement, and owner recorded. A Voice AI agent captures the ones that arrive out of hours.

How: Unified enquiry pipeline with Voice AI answering and qualifying inbound calls.

02

Quotation preparation

Today

Quotes are built in Excel by checking stock, looking up cost, applying a mental margin, and re-typing customer details.

With Udyat

Quotes generated from live stock and price lists with margin rules applied automatically, produced as a branded PDF in under a minute.

How: Custom quotation platform with rule-driven pricing and live stock lookup.

03

Stock visibility

Today

Stock is approximately known. Committed-but-not-dispatched quantities are tracked informally, so the same units get promised twice.

With Udyat

Live stock split into free, committed, and in-transit across every location, visible to office and field staff alike, updating as orders are confirmed.

How: ERP integration with a real-time inventory service and mobile access.

04

Order to dispatch

Today

A confirmed order is re-typed into the ERP, then phoned or messaged to the godown for picking.

With Udyat

Confirmed orders flow straight to picking with a scanner-driven pick list, and dispatch, e-way bill, and invoice follow automatically from the same record.

How: Business Process Digitization with barcode picking and ERP write-back.

05

Credit control

Today

Credit limits are enforced by memory. Ageing reports are produced monthly and chased in bursts.

With Udyat

Credit limit and ageing checked automatically at order entry, with over-limit orders held for approval and payment reminders sent without anyone initiating them.

How: Automated credit rules with scheduled Voice AI and messaging follow-up.

06

Supplier purchase and landed cost

Today

Purchase decisions are made on gut feel about consumption. Freight, duty, and clearing charges are apportioned later, if at all.

With Udyat

Reorder suggestions driven by consumption and lead time, and landed cost built up from freight, duty, and charges as they are incurred — so true margin is known per lot.

How: AI-driven reorder planning with automated landed-cost accumulation.

07

Field sales

Today

Salespeople phone the office to check stock, price, and whether a customer is over their limit, then take the order on a pad.

With Udyat

A mobile app showing live stock, customer-specific pricing, outstanding balance, and order history — with orders placed on the spot and confirmed instantly.

How: Custom mobile sales application with offline tolerance and ERP integration.

08

Supplier and customer documents

Today

Purchase invoices, transport documents, and test certificates are keyed in or filed manually, then hunted for when needed.

With Udyat

Documents photographed or forwarded, read automatically, indexed against the right lot or order, and searchable in seconds.

How: Vision AI document extraction with automatic classification and filing.

09

Customer status calls

Today

Customers ring the office to ask about dispatch, pending quantity, or outstanding balance. Someone checks and calls back.

With Udyat

A Voice AI agent answers immediately with live order and balance data, and a customer portal lets larger accounts check for themselves.

How: Voice AI grounded in live order data, plus a self-service customer portal.

10

Profitability analysis

Today

Product and customer profitability is estimated once a year, and largely believed rather than measured.

With Udyat

Margin by product, customer, salesperson, and lot available continuously, including discount leakage and the cost of servicing slow payers.

How: Reporting layer built over unified order, cost, and receivables data.

What we build

Solutions we deliver for this sector

Each is a real, scoped piece of work — usually delivered one at a time, starting with whichever pays back fastest.

Quote-to-cash platform

Enquiry, quotation, order, dispatch, invoice, and collection in one connected flow — with margin visible at the point of quoting rather than after the month closes.

Voice AI order desk

An agent that answers every enquiry call, captures the requirement, checks stock, quotes standard items, and routes anything complex to a salesperson with context.

Automated receivables follow-up

Ageing-driven reminders by voice, WhatsApp, and email, escalating on a schedule, with every promise-to-pay logged against the account.

Purchase document automation

Supplier invoices, transport documents, and certificates read automatically, matched to purchase orders, and filed against the correct lot.

Systems we connect to

Your existing systems stay

Compliance and evidence

Audit evidence as a by-product

When the workflow captures the work properly, the evidence an auditor asks for already exists.

  • GST-compliant invoicing, e-invoicing, and e-way bill handling
  • Audit trail on every price override and discount approval
  • Lot and batch traceability where products require it
  • Statutory document retention with searchable archives
FAQ

Trading & Distribution — questions we get asked

We run everything on Tally. Does that have to change?

No. Tally stays as your book of record and your accountant carries on unchanged. We integrate with it so orders, stock movements, and invoices flow both ways without anyone re-typing.

Our pricing is negotiated per customer and per deal. Can a system handle that?

Yes — customer-specific price lists, slabs, scheme discounts, and negotiated overrides are all supported. The difference is that an override becomes a recorded, approved decision rather than an invisible one.

Will our salespeople actually use a mobile app?

They do when it saves them a phone call. Live stock, current price, and the customer's outstanding balance in their pocket removes the daily friction of ringing the office, so adoption tends to be driven by self-interest.

How do you handle orders that arrive on WhatsApp?

We connect the WhatsApp Business API so messages land in the same pipeline as calls and email. Structured enquiries can be parsed automatically; anything ambiguous is routed to a person with the thread attached.
